I keep mine in Airtable: one table with a “Next touch” date and Status, and an Airtable Automation that emails me each morning with rows due today, so I clear follow-ups in “under 10 minutes a day” and keep my Calendly link + a Stripe Checkout URL in each record. Caveat: Calendly isn’t truly synced without extra tools, but the email nudges work “without wrestling zaps” — want my automation trigger/condition?
I ditched Notion/Airtable for HubSpot Free because , buried threads kept costing me, and I clear its daily Task list in under 10 minutes. It has Calendly and Stripe apps, so meetings auto-log to contacts and I just drop a Stripe payment link at “Proposal sent” without zaps; building on @fgreen19’s nudge idea, switch on the daily task email and install the Calendly app. If you don’t need full proposals, this setup handles follow-ups, bookings, and payments with minimal fuss.

I landed on Pipedrive Essentials; the one tweak that keeps me sane is a custom date field called “Next touch” and a saved filter for due/overdue — every time I send a reply, I bump that date, and the Today view shows exactly who needs a nudge. Their built-in Scheduler is fine, but I still use Calendly and drop a Stripe Checkout link in the deal, so there’s nothing to wire up.
